Even an ordinary digital event can challenge the managers, let alone organize a big scientific congress online.
Our client – meta-fusion GmbH, a company supporting the hybrid meetings and digital processing of congresses and conferences for 18 years, disrupted the market with the Digital-Congress-Resources Suit (DCR Suit). There is a hybrid events platform that allows the stakeholders (event organizers, participants, sponsors, etc.) to be on one page and manage the event easily, given the different areas of responsibility.
The Client has developed a vision of transforming the digital events landscape by focusing on the specific niche of scientific events and congresses.
Artelogic’s team became a backbone in building the sub-project of the client’s main application. Spotlight Manager is developed for use by the administrator to create and manage custom submission forms very flexibly.
Organizing support for multiple digital events, namely, the scientific congresses, the Client spent much effort collecting the content from event participants and sponsors. Content sharing is one of the most critical processes of each event, especially if it concerns science and academic events. The organizers have to collect, process, and distribute the tailored information (like the papers, presentations, reports, etc.) to all participants, given their preferences and involvement.
For this purpose, our Client, as the hybrid event platform provider, previously used Google Spreadsheets. It has been taking a lot of time and effort to collect and classify the content, as it was almost impossible to customize the Spreadsheet given the particular needs of all stakeholders. Storing and sorting the media files was another issue.
Thus, the development of an up-to-date solution was the urgent demand. Artelogic’s development team precisely analyzed existing business processes and use cases to deliver the expected outcomes. The project’s main goal was to automate the current approaches to make collecting the content more manageable and less time-consuming.

Artelogic’s team developed a web-based application for collecting the content for multiple Event-based projects (summits, conferences, congresses). The hybrid events software has more custom settings than Google Forms that allow having content tracked and structured. Multiple sides can update content in parallel, create templates, and have an advanced filtering overview of the submitted records.
The web application allows Administrators to create different form templates, configure fields, group them into sections, and add hints for end-users. The possibility to drag& drop and clone fields and sections helps to speed up the process of creating new submission forms.
Admin of the hybrid events platform can set an expiration date with a count-down, so the content provider knows the due date. Also, during the template and form creation, the admin can set up many different rules and restrictions: file format and weight, image size in pixels, number of characters, etc.
The passcode automatically protects every form to avoid sharing sensitive data. Admin dashboard allows to make bulk actions, search and apply filters, and export data. All these features help quickly find the needed information and process it in a structured way. Various media files submitted via the forms are stored on AWS S3. All files are specifically structured, allowing further processing of the collected media content by another application.

The application allows our client to save a lot of time on their daily business routine and control the process of collecting the content and managing the deadlines so shared information is in the correct format/length/quality for upcoming Events.
